a1. What's the difference between Standard version and Professional version?

The major differences are: 1). Professional version supports interactive touch tone response and voice message; and 2). Professional version is capable of playing different messages for human pick up vs. answering machine; and 3). Professional version can customize and personalize your telephone message using a built-in Message Designer.

With Professional Version, the system can:

1. Collect confirmation or response from recipient. The person who receives the call can, for example, press 1 to confirm, press 2 to cancel, and press 3 to leave a voice message. You can design the confirmation prompt anyway you like.

2. Play different message for answering machine and for human pickup. This feature can be used for callers who wish to play different messages to human and answering machine. Sometimes, you only want to leave messages on the answering machine. So you can specify no audio file for human pick up, and have a real message played when it is answered by an answering machine or voice mail system.

3. Use speech command. For example, to replay the message, the person who receives the call can replay the phone messages by saying a voice command like Play It Again. If you have important information like your name or phone numbers that need the person to write it down, the replay feature will allow them to repeat the info and have enough time to do so.

4. Broadcast personalized messages include each person’s name, a specific message just for that person, either using text-to-speech or pre-recorded audio file. It can play different messages to different people. Examples: "Hi, [Mr. Gate], [happy birthday], this is John Green. Please vote for me for my next election. If you want to hear this message again, please say Play It Again.  The words in italic with a bracket […] can be replaced with any words you choose

The Standard version of Voicent AutoReminder uses a fixed reminder message and thus is only suitable for appointment reminder calls. For doctor offices, we recommend the Professional version so patients can confirm their appointments.

a2. Can I use my own voice to pronounce my name?

Yes. Just invoke the main Voicent Gateway window and select Record My Name from the Main Menu. You can either use a telephone to record your name, or record your name in a .wav file and then import it.

a3. How do I add/remove/edit my contact list?

In the main window of AutoReminder, select Contact --> Open Contact from the Main Menu.

The first time you make an appointment for the person, an new contact dialog will be invoked automatically. You can enter the contact information there also.

a4. What is Voicent Gateway? Why do I need that?

Voicent Gateway is the product that makes it possible to link your computer to the telephone. For AutoReminder to function properly, Voicent Gateway has to be running.

a5. Why do I get a message saying it cannot connect to Voicent Gateway?

Please refer to the same question under Installation FAQ.

b1. Do I have to fill out all fields in the new appointment dialog?

No. The category and notes fields are optional.

b2. What if I don't want to make a reminder call for an appointment?

Simply un-check the Call this number checkbox in the edit appointment dialog.

b3. Will the text entered in the notes included in the reminder message?

Yes if you check the "Appointment notes" check box when you create an appointment.

b4. Can I change the reminder phone number to a number that is not in the contact information?

Of cause. Just type in the phone number in the appropriate field.

c1. How do I change the start/end time of an appointment?

You can change any information of an appointment by invoking the edit appointment dialog. To invoke the dialog: (1) double click on the appointment, or (2) select the appointment first, then select Appointment --> Open Appointment from the main menu, or (3) click the Open icon on the toolbar.

You can also directly move the appointment to the new start time location. You can drag and drop the appointment to a different date on the right hand side calendar window.

c2. How do I change the appointment to a different date?

See the previous question c1.

c3. What is the meaning of different icons shown in a appointment?

Call will be made at specified time

Call succeeded

Call failed

Will try again

d1. Can I import appointment from other software products?

Yes, you have three options:

(1). Create import files from other software product. The format of the file must conform to the required AutoReminder format. Please refer to Import Appointments.

(2). If the software product cannot produce the file format required by AutoReminder, a conversion program is required. Voicent can create a customized program for you. Please contact our sales for a quote.

(3). Directly integrate AutoReminder such that appointments are added to AutoReminder automatically. This approach can eliminate the manual import. However, it normally requires more development work. You can contact your software vendor or us for such services.

d2. Can I Access appointment from other machines on the same network?

Yes, please refer to Openweb Access.

d3. I am a developer. How can I integrate my product with AutoReminder?

You have a few choices:

(1). Use Openweb Access. You can use any program language, as long as it can post an HTTP request.

(2). Use command line options.

(3). Use automatically import.
